Lab Alcohol Services


The Lab Alcohol Service is facilitated through the Receiving Desk and is available for pickup at our facility, or via convenient delivery services.
 Though most ethanol deliveries will take place by the end of the next business day, we do ask you allow up to 2 business days for your order to be processed and delivered to your department. No Lab Alcohol is dispensed on the last working day of each month.

Quantity Limitations

Lab alcohol will only be dispensed in 5 gallon increments and only in approved containers issued by Central Receiving. The only exceptions will be for those departments approved to order pints or barrels. Departments can only be issued 10 gallons of any type of lab alcohol per day. Example: 10 gallons 190 proof, or 10 gallons of 200 proof, or 5 gallons of each.

Carboys & Accessories

Containers

Only those containers issued by Central Receiving will be filled with the type of lab alcohol listed on the container. Carboy container purchases must be on a separate Internal Order from lab alcohol requests.

Same Day service is available for a $20 per container service fee. Request for Same Day service must be received by Central Receiving no later than 10:00 AM. Please call the Receiving Desk at (970) 491-1595 to schedule Same Day service.

Process - How to Order?

STEP 1: Preparing Your Carboy For Filling

Please be sure to inspect the cap of your carboy before bringing it to Central Receiving or requesting a pick up from your department. If your cap is showing any signs of deterioration such as cracking or flaking, paying close attention to the interior of the cap, discontinue the use of the carboy immediately until you have purchased a replacement cap. Replacement caps can be purchased through Central Receiving by completing an IO specifying “Replacement Carboy Cap” at a total cost of $30.

STEP 2: Preparing Your Tax Free Affidavit Form - This is REQUIRED

IOs for lab alcohol must be accompanied by a Tax Free Affidavit with the name of the responsible party making application, signed by the department’s authorized controller.

STEP 3: Submitting an Internal Order (IO) through Kuali

All Internal Orders must be filled out correctly for quantity, type and pricing. Lab alcohol will not be dispensed until IOs are received with correct pricing, extensions and an approved container. Carboys must be on a separate IO from lab alcohol orders.

Step A - Description

In the Description field, enter Lab Alcohol Order.

Step B - Internal Supplier

Select CENTRAL RECEIVING as the Internal Supplier.

Step C - Accounting Lines

Enter your Expense Accounting Line Detail.
1) Enter Account #
2) Enter Object Code
3) Enter Total Amount of the IO
4) Click the + Button
You are free to enter Sub-Account or Sub-Object or Project Codes as desired.

Step D - Items

Enter each item being ordered on its own line. 
Ethanol Orders and Carboy Orders must be on SEPARATE IO documents.

1) Enter desired item, for example:  200 Proof Ethanol
2) Enter the quantity.  For example, enter 5 for 5 gallons of Ethanol (we only fill in 5 Gallon increments).
3) Enter the Unit of Measure (UOM).  Use GA for Gallons, and EA for Each (Carboy and Cap Purchases)
4) Enter the total cost of the IO.
5) Click ADD

Step E - Attach Completed Tax Free Affidavit Form

Use the Notes & Attachments section to attach your completed Tax Free Affidavit.  If it is not included in the IO, it must be attached to the carboy or brought with the pickup person or Ethanol will not be filled or released.

1) In the Note Text field, enter Tax Free Affidavit
2) Click the Choose File button, browse for your file, and click Ok.
3) Click ADD to attach the file to the IO.

Step F - Submit IO & Print

Submit the document by clicking SUBMIT at the bottom.

Print a copy of this document to attach to carboys or bring with for walk-in service.  

BEFORE PRINTING
1) Click COLLAPSE ALL in the upper right corner.
2) Click the down arrow at the end of the ITEMS section to expand it.

The IO must be fully approved before we are able to fill orders.

STEP 4: Place Carboy in Pick-up Location or Use Walk-in Service

For Walk-In Service, you can visit our facility at 200 W. Lake Street Weekdays from 1:00pm – 3:45pm for same day filling.

Pick-up & Delivery Services Available

Did you know that Shipping & Receiving can take care of your lab alcohol pick up and delivery needs? Customers can now leave their approved containers (carboys) in designated Shipping & Receiving locations in each department with their Internal Order Document, Tax Free Affidavit and barcode label enclosed in the pouch provided by Central Receiving identifying it as ready for pick up. The containers will be picked up, barcode labels scanned, and carboy returned to Shipping & Receiving to be filled.  Filled lab alcohol containers will be returned to the same location within 2 business days after the pickup date. Date, time, and location will be recorded as labels are scanned upon delivery. There will be a $10.00 handling fee per container for this service (this will be charged to the Kuali account number on the IO by Central Receiving – DO NOT ADD THIS TO THE IO.)
